Customer Service Representative

We currently have an opening for the position of Customer Service Representative located in the Toronto Office.  This position reports to the Manager, Toronto Operations.

Responsibilities include (but are not limited to):

  • Collection of all job related information, including job name, production type, job dates and job contacts and E-Mail address.
  • Set up the late and expected return reports with production based on the collected information above.
  • Receive equipment requests from customers (via phone / fax / email / face to face).
  • Receive approval from customers for all rentals, and any associated costs.
  • Distribution of pick-lists to the Rental Desk staff.
  • Procurement of any required sub-rentals, ensuring accurate revisions of pricing and costs associated with any sub-rentals to customers, confirmation to sub-rental suppliers, and obtaining all sub-rental equipment.
  • Follow up with production staff if requests for equipment are changing. Ensuring all pricing/costs associated with any changes are approved by the customer prior to the release of equipment.
  • Field any customers concerns or complaints and ensure all concerns or complaints are addressed in a timely manner.
  • If required, assist billing personnel in the collection of all required customer information, including insurance certification, customer contacts, shipping and billing addresses.
  • Coordination of customer pick-ups or deliveries.
  • Arrangements of any equipment exchanges (faulty gear, main package exchanges).
  • Keeping accurate and up-to-date records within the computer system and paperwork back-up.
  • Ensure the return of sub-rented equipment to the appropriate sub-rental supplier.
  • Processing missing and damaged reports for equipment returns, sending the reports to production for approval of payment.
  • Remain update on new equipment and technologies and their uses in order to aid customer.
  • Authorize and charge for missing and damaged goods.
  • Aid in the appropriate billing of contracts by ensuring their accuracy and correct billing information is on hand.
  • Negotiate rates with suppliers for sub rented equipment.
  • Ensuring that all departmental policies and procedures are followed.
  • Attend weekly CSR meetings.

Qualifications:

  • Proficiency in Microsoft Office Suite (i.e. Excel, Word, etc).
  • Knowledge of the film industry including gear and personnel.
  • Working knowledge of RTPro would be considered an asset, however not required.
  • Must have strong organizational, interpersonal and multitasking skills.
  • Must have the ability to work under pressure and to tight deadlines.
  • Must have excellent verbal and written communication skills.

Package Truck Coordinator

We currently have an opening for the position of Package Truck Coordinator located in the Toronto Office.  This position reports to the Client Services Representative, Package Truck.

Responsibilities include (but are not limited to):

  • Liaise directly with Package Truck CSR to ensure proper shipping and receiving of Package Trucks.
  • Perform inventory of Package Trucks after each job.
  • Input equipment exchanges into RTPro to accurately reflect truck inventory and barcoded items on each truck.
  • Maintain “All out book” for reference of ongoing jobs.
  • Coordinate Dolly loads with Grip and Lighting CSR.
  • Restock Sales and Equipment exchanges.
  • Confirm Missing and Damages with Grip and Lighting CSR.
  • Coordinate Production Company signage on Package Trucks.
  • Co-ordinate with the Package Truck CSR the collection of Contracts and Paperwork for all Truck Packages.
  • Co-ordinate Package Truck maintenance with Maintenance Manager and Package Truck CSR.
  • Assist the Manager, Commercials in evaluating and implementing Package Truck equipment changes.
  • Ensure there is a sufficient inventory for all Non Consumables Department items.
  • Ensure Package Truck area is clean.
  • Assist the Expendables Department with inventory.
  • Assist Back Shop during busy periods.
  • On call for Package Truck driver pick up during business hours and for out-of- town pickups.
  • Preform on set delivery of Package Truck equipment exchanges.
  • Inventory Viral Vans and:
    • Perform check in and check out procedures with customers.
    • Explain all responsibilities of the rental to a customer (i.e. 407 ETR, tickets, after hour procedures, etc.)
  • Hours 7:00am to 4:30pm.

Qualifications:

  • Knowledge of the film industry including gear and personnel.
  • Must have a full G license. DZ license would be considered an asset. Complete drivers abstract will be required.
  • Must have the ability to follow set procedures and guidelines.
  • Must have the ability to work under pressure and to tight deadlines.
  • Must have excellent verbal and written communication skills.

Various Positions at Whites Vancouver

We currently have openings for the following positions at our Whites Vancouver location. This is an exciting opportunity to join a growing team in these full time permanent positions!

  • Customer Service Representative

A critical role to our operation, CSR’s act as the main point of contact between Whites and our customer base. This entails entering equipment orders, generating quotes, coordinating the rental or sub rental of speciality equipment and working closely with our sales team to ensure second-to-none customer experience at all levels of production. We are looking for individuals with a minimum of 2 years of industry related experience, knowledge of film industry equipment and who possess excellent communication and organizational skills and the ability to work under pressure and to tight deadlines.

  • Rentals Desk Coordinator

Centered in the middle of our operation, the Rentals Desk Coordinator position is responsible for distributing pull lists, creating accurate rental contracts and checking in equipment to generate check-in sheets. This role requires excellent communication skills as you are required to interact with both internal staff and external clients. This is an exciting role for someone who has some equipment knowledge, the ability to multi-task in a loud fast paced environment and exceptional customer service skills.

  • Education & Training Coordinator

Reporting to the National Manager, Education & Training this position has a primary responsibility to one stream of focus: internal staff training. You will also hold a secondary responsibility by providing a support role to the other two streams of focus, as set out in the mandate: industry professionals and post-secondary/ emerging filmmakers. Ideal qualifications for this role would be previous experience working on set, working knowledge of lighting & grip equipment and some form of relevant teaching experience.

Whites Speciality Equipment is an expanding and dynamic team that provides our clients with access to our original world-class inventory of Remote Heads and Cranes, and expanded products and services including Camera Cars, Motion Control, High Speed Capture, Balloon Lighting, Aerial Services. In this role, you will fulfill a hybrid role in acting as a facilitator between operations and the administrative side of the business. You will work closely with the entire team in assisting with and coordinating the day to day operations.
